CANCELLATION, RESCHEDULING & REFUND POLICY

Automatic confirmation. Clear notice periods. One appointment fee of $150 or less.
1. Scope, acceptance, and automatic confirmation
This policy applies to MultiView Inspections, LLC (MVI) appointments, service visits, and unperformed portions of packages. It is supplied before booking and payment and applies when the Client or an authorized representative affirmatively accepts it in writing or electronically. MVI will retain the accepted version with the booking record. Merely receiving a confirmation does not create consent to an undisclosed fee.
Appointments booked through MVI’s online scheduling system are automatically confirmed when the completed booking generates a confirmation. No separate MVI approval is required. A quote, inquiry, incomplete submission, or unconfirmed time selection does not reserve an appointment.
Automatic confirmation reserves the appointment; payment is not required to confirm it. The required Pre-Inspection Agreement must still be signed, payment in full must be received, and lawful access must be available before inspection work begins, unless MVI agrees to a different payment schedule in writing.
Appointments recorded by MVI at the Client’s request are confirmed when the scheduling system issues its confirmation. For a multi-visit package, each appointment is confirmed separately. The accepted service order must state the price allocated to each visit and separately priced deliverable.
A confirmed appointment is held while the required Pre-Inspection Agreement is signed. If it is not signed within two hours of the time the appointment was booked or last rescheduled — or by twelve hours before the scheduled start time, if that is sooner, and in no case less than thirty minutes after booking or rescheduling — MVI may release the appointment and return the time to its available schedule. MVI will notify the Client at the email address given at booking before releasing the time. A release under this paragraph is a cancellation by MVI under Section 7: no cancellation, rescheduling, missed-appointment, or trip fee applies, no amount is charged, and any prepayment is refunded in full. The Client may book again at any time, subject to availability. This paragraph does not apply to an appointment MVI records at the Client’s request.
2. Cancellation or rescheduling at least 24 hours ahead
No cancellation or rescheduling fee applies when notice is received at least 24 hours before the scheduled start time. Exactly 24 hours qualifies. MVI will refund unearned prepayments or, at the Client’s election, apply them to a replacement appointment. Completed services remain subject to Section 6.
3. Late changes and the appointment-fee cap
A Client-requested cancellation or rescheduling received less than 24 hours before the scheduled start time, including at or after that time but before work begins, may result in one appointment fee. The same rule applies to a confirmed appointment that cannot begin because required access, utilities, agreement, payment, or readiness are unavailable, subject to the exceptions below.
Only one cancellation, late-rescheduling, missed-appointment, or trip fee may apply to the same affected appointment. The total of all such charges, including any applicable tax, will not exceed the lesser of $150 or the agreed price of that appointment. No additional travel, preparation, processing, administrative, or third-party cancellation charge may be added for the same event. MVI may reduce or waive the fee.
A fee applies only under terms disclosed and affirmatively accepted before the event. MVI may deduct that fee from an existing prepayment or invoice it if unpaid. This policy does not authorize an additional debit to a stored payment method. No fee applies to a complimentary appointment or to the Client’s absence alone when inspection work can proceed.
The cap governs cancellation and appointment penalties. It does not cap the agreed price of services actually performed or a genuinely separate, prospectively accepted service. A charge cannot be relabeled as a return visit, product, or completed service to avoid the cap.
4. Rescheduling and replacement appointments
Rescheduling is subject to available times. A replacement time is automatically confirmed through the booking system; separate MVI approval is not required. After any applicable single fee, remaining prepayments are applied to the new appointment unless the Client chooses a refund instead.
If no replacement is confirmed and the Client changes the request to cancellation, the original notice time controls and no second fee applies to the displaced appointment. A separately confirmed replacement appointment is subject to its own notice period. Property, scope, price, or package-allocation changes require written acceptance before additional work.
5. Access, utilities, and readiness
The Client must coordinate lawful access with the owner, occupant, or authorized representative; arrange active utilities through an authorized person; secure animals; and provide access instructions. Missing keys, disconnected utilities, locked areas, missing authorization, unsecured animals, or preventable access restrictions may be readiness failures. The inspector will not activate disconnected utilities.
MVI will make reasonable efforts to contact the Client or access representative and allow the issue to be corrected when safe and practical. If no work can begin, the single capped fee in Section 3 may apply. A regional utility outage, MVI’s own failure, or a qualifying weather or safety event is handled under Section 7.
An individual inaccessible component does not automatically cancel a full inspection or reduce its price. MVI will document limitations and comply with mandatory inspection and reporting duties. Unperformed separately purchased services and expressly promised package deliverables are handled under Section 8.
6. Work already performed and partial completion
Inspection work begins when the inspector has arrived, obtained necessary access, and started performing the contracted inspection. Travel, preparation, arrival, or placing a vendor order alone does not mean the inspection has begun.
If the Client stops the Inspection or it cannot be completed, MVI may charge a reasonable, documented portion of the agreed price for work actually performed, including reporting for that work. The charge cannot exceed the agreed service price. MVI will refund the unearned balance or apply it to further work only with the Client’s written agreement. No appointment fee is added for that same partially performed visit.
Properly completed services remain payable regardless of an unfavorable finding or a transaction that does not close. This does not eliminate a remedy for deficient services or any nonwaivable right. MVI will review concerns under the signed agreement and applicable law.
7. Weather, safety, and cancellation by MVI
No cancellation, rescheduling, missed-appointment, or trip fee applies when MVI determines that weather, airspace restrictions, a regional utility outage, or unsafe conditions outside ordinary readiness failures require postponement, or when MVI cancels for its own equipment, scheduling, or operational reasons. MVI will offer rescheduling or refund the unearned amount for unperformed services. A return visit solely to complete work postponed for these reasons carries no additional visit or travel fee.
Ordinary readiness failures remain subject to Section 5. A general possibility of bad weather does not automatically excuse an unrelated late change; MVI will assess actual conditions using reasonable professional judgment. The Client may decline a replacement time and receive the unearned refund. No processing or third-party deduction applies to unperformed services.
8. Unavailable add-ons, package benefits, and third-party work
If a paid add-on or expressly included package deliverable cannot be provided, MVI will refund its unearned disclosed price or agreed package allocation unless the Client accepts a suitable substitute, rescheduling, or credit in writing. MVI will document reasonable allocations without increasing the agreed package price. A different tool may be used where it provides the agreed deliverable and satisfies applicable standards; an expressly promised but undelivered aerial or other supplemental service remains subject to adjustment.
MVI absorbs unrecovered vendor charges for unperformed services. A third-party product or report actually delivered and accepted remains payable only at its disclosed, agreed price and subject to applicable law. An included no-charge benefit is not retroactively assigned a cancellation deduction. There is no duplicate charge for the same work or product.
A separate return visit caused by a readiness failure or new scope requires disclosure and written acceptance of its scope and price before booking. Remaining prepayments must be credited to the agreed work. This does not permit a second penalty for the original appointment. Visits to complete work postponed under Section 7 carry no extra visit or travel fee.
Unused prepaid package visits remain refundable under this policy. No automatic expiration or forfeiture applies unless separately and lawfully agreed before purchase.
9. Refund calculation, timing, and method
The refund is the amount paid for the affected services, less the agreed earned amount for completed work and, only where allowed, the single capped appointment fee, adjusted for prior refunds, accepted credits, and applicable taxes. MVI will identify the notice time, work completed, basis of any partial-service charge, fee, and remaining balance. MVI will not retain more than is owed.
MVI will provide an itemized refund determination within five business days after receiving a cancellation or refund request. If information reasonably necessary to calculate the refund is missing, MVI will identify it within that period and determine the remaining amount within five business days after receiving it. An undisputed refund will not be delayed because another amount is disputed. MVI will initiate each determined refund within three business days. Business days are Monday through Friday, excluding U.S. federal holidays; any shorter legal deadline controls.
Refunds return to the original payment method. If that method is unavailable, MVI will arrange a secure alternative with the payer. A service credit replaces a due refund only with the Client’s agreement. MVI absorbs payment-processing fees, provides refund confirmation, and assists with tracing delayed refunds. Banks and processors may require additional time to post the refund.
10. How to give notice
Use a cancellation or rescheduling function supplied in the booking confirmation or client portal, email office@multiviewinspections.com, or call 432.900.4370. Include the Client’s name, property address, scheduled date and time, and requested change. Outside answered hours, leave a clear voicemail. A social-media post or an unsent form does not give notice.
Notice is measured in elapsed hours before the scheduled start time, including weekends and holidays, using the time zone at the property. Receipt occurs when the supplied scheduling system records the request, an email or voicemail reaches MVI’s listed account, or an MVI representative receives the telephone request. Receipt is not delayed until MVI reads or acknowledges it. An unanswered call without a message does not give notice.
MVI will acknowledge the change; the acknowledgment is not a condition of timely notice. Keep the timestamped request and contact the office if no acknowledgment arrives. If the system is unavailable, email or voicemail remains available. A text-message opt-out does not cancel an appointment; use a cancellation method above.
11. Questions, document priority, and changes
Questions about a charge or refund may be directed to MVI with the property address and supporting records. This policy does not restrict a lawful payment dispute, regulatory complaint, or other nonwaivable right, and it does not suspend required inspection reporting.
The signed Pre-Inspection Agreement controls a conflict concerning inspection services. The accepted service order identifies scope, appointments, and price. No MVI document may increase this policy’s appointment-fee cap or add a second penalty for the same event. The Website Terms & Conditions govern website use; the Privacy Policy governs information handling; provider terms govern only their own benefits.
This version applies to bookings for which it is disclosed and accepted. Later changes apply prospectively and do not change an existing booking without a lawful written agreement identifying the change.
